Unitus Foundation builds future-proof digital workplace with Pink Elephant

Stichting Unitus is an umbrella organisation for various welfare and childcare organisations in Limburg. Employees of, among others, Synthese, Punt Welzijn, Vorkmeer and Hoera kindercentra offer daily support to children and vulnerable target groups spread over dozens of locations. In such a dynamic environment, reliable IT is not a luxury - it is a prerequisite.

Unitus faced the challenge of uniting different organisations and working cultures in one modern digital working environment. This required a smart approach, not only technically, but above all organisationally.

From separate structures to one powerful working environment

To break through this fragmentation, it was decided to switch to a uniform Microsoft 365 environment. Pink Elephant supervised both the migration and the adoption process. This meant more than just transferring systems: we worked with ambassadors within the teams, organised thematic sessions (e.g. on smart collaboration in Teams) and took the first steps towards data-driven management. For instance, based on actual use, we now look at which functionalities need extra attention.

Adoption, AI and ambitions for the future

Besides technical set-up, the focus was on behavioural change. Employees had to get used to new ways of working, and that process was carefully supervised. Meanwhile, Unitus is already looking ahead - for example, to the deployment of AI with Microsoft Copilot. Curiosity in the organisation is high. "We don't notice any fear of change," says Peter Moors Coordinator ICT facility at Unitus Foundation. "Indeed, people want to work with it. The interest comes as much from the board as from the shop floor."

A cooperation with an eye for content and culture

For Unitus Foundation, a successful IT transformation is not just about systems, but especially about people, cooperation and understanding the organisational culture. In Pink Elephant, Unitus found a partner who really moves with it. "In a migration like this, there are always unforeseen issues," Moors explains. "But what matters is how you deal with them. There is a collective will to get it right, and you notice that." That attitude was also reflected in the guidance of the adoption process and the careful communication around the transition to outsourcing our end-user support to Pink Elephant. The collaboration felt both professional and personal - exactly what was needed in such a complex and organisation-wide process.
